Description of role of Associate at Drop off
The role of the drop off associate is to manage the intake of prescriptions. Depending on your stores volume and flow you may wear many hats and be asked to multitask on Input & Resolution (usually) Ordering (sometimes) and even Filling or Pickup (Lower volume stores usually). Multitasking is a key skill of any position in the pharmacy and you will rarely if ever be only wearing one hat.
Additionally the Drop off associate should be answering the phones according to The Rule of Threes and making calls in concert with our Compliance Initiatives.
Access the Drop off window
Access the Drop off menu from the Drop off button of the left side of Connexus. It may also be accessed with the shortcut Ctrl+D.
Searching for a specific patient
Locate a specific patient by searching with the Date Of Birth in the format MM/DD/YYYY. It will work with the 2 digit year only if your patient is already said n the system at your location so 4 digit is always recommended. You may also Search with the name of the Patient in either the format Lastname,Firstname or Firstname Lastname. Another handy trick is to use this format MM/DD/YYYYlastname,Firstname both names may be abbreviated so John Smith born 01/02/1934 could be searched the following ways:
- 01/02/1934
- John Smith
- Smith,John
- 01/02/1934Smith,John
- 01/02/1934S,J
If your patient comes up verify this is the right patient by confirming another piece of information like address or phone number. If it doesn't come up in the first search click the "Search Host" button to check other stores. If nothing comes up then you can add a new patient.
Adding a new patient
Once you have identified that you need to add a new profile you can create a new profile with the "New" button. Note that the "New" button will remain greyed out until you have searched host. And it will bring up the "Patient Maintenance Screen".
The first thing you need to know is there's multiple tabs that are relevant on this screen. The first page is demographic information and insurance. This most of what you want. Some smaller parts are on other pages and will not be discussed in detail yet.
Fill out the profile with all the requested information and hit accept. Make sure to record allergies and medical conditions as these are important for the pharmacist to be able to flag dangerous interactions or allergies.
Adding Insurance
To add insurance you can do it one of two ways, click on the third party button in drop off or the third party button in the patient maintenance screen.
On the right side of the patient maintenance screen you will see the primary insurance. Do not edit from here unless it is blank. Hit third party right below that. This will give you a list of all insurance cards and discount cards on the patient's file.
Add a new insurance card with the new button.
Under bin you can either use the bin or a quick code. Some common ones I will list below in this format bin/pcn
OMN/Default this is the red white and blue medicare card it's format is a 9 digit letter and number combination followed by a comma then the insulin indicator I if the patient uses insulin N if they don't. The group field in this one should be blank unless they have a supplement. But if you bill it blank and they do have a supplement don't worry it will tell you the code for it.
GRX/Default goodRx. For the ID you can use whatever you want it doesn't matter. For the group use DR33.
TRI/CARE tricare. ID is the benefits number on the back of the ID card Or the sponsors social. Group is DODA.
State medicaid plans M followed by the 2 digit state abbreviation. So florida would be MFL, GA would be MGA and so on. ID and group will be unique to each state.
Common plan quick codes
After adding your insurance your Job is not over,
Next click on the plan that's no longer active and uncheck the Active box to disable the previous plan so future plans can can auto switch to the new insurance. If you don't do this it will force you to do a lot more resolution than is necessary.
Now reorder your insurance plans in this order of priorities
- Commercial
- Medicare Part D
- Medicare Part B (OMN or rarely a few other plans)
- Government plans (i.e tricare)
- Medicaid
- Discount Cards
- Workman's Comp
- Auto Insurance
- Trial cards
